Greenlion Signal IRD Changes to Payday Filing

From 1 April 2019 you will be required to send your payroll information on the Inland Revenue whenever you pay your staff. The current process for filing your employment information with the IRD is that you complete and file an IR348 and an IR345 on the 20th of each month.

 

From 1 April 2019 you will be required to file your employment information with the IRD every time you pay your employees e.g. weekly, fortnightly etc. This replaces the IR348 that would usually be filed with the IRD on the 20th of each month. The IRD will directly allocate your PAYE payment automatically, which removes the need to file an IR345.

 

When you hire a new employee, you are required to provide the IRD with the employee’s address details, a well as their date of birth. There are no changes to the date that payment for PAYE is due to be paid to the IRD.

 

If you are using Smart Payroll to process your payroll, then they will automatically file the employment information with the IRD for you. You can also enter any new employee's details directly into Smart Payroll and this will flow through to the IRD.

 

Greenlion would recommend that you get in touch with Smart Payroll directly to make sure your system is set up and ready for Payday Filing before 1 April 2019.

If you are using Xero's payroll feature, you can enter your employment information directly into Xero and this will be filed with the IRD directly when you process your payroll for that period. You can also complete the new employee information directly in Xero. Greenlion would recommend that you get in touch with Xero directly to make sure your system is set up and ready for Payday Filing before 1 April 2019.

 

 If you are using another payroll system you'll need to get in touch with your payroll provider directly to find out if they are payday filing compliant. Alternatively, please contact Greenlion to assist you with this. If you don't use a payroll system to process your payroll, you will need to file your employment information with the IRD within two days of processing each pay run. You can do this in the Payroll Returns account when logged into the IRD website using myIR. 

 

You can either upload a file with the employment information or enter this information directly when logged into the IRD website. However, given the tight timeframes and administration involved this may be a good time to consider a payroll system.
